Contractor management, vendors and compliance

Contractor companies, documents and contractor workers under control, without duplicate records.

The RHTECH Contractor Management module tracks each contractor's documents and expiration dates, and shows who is noncompliant before they get access.

Register contractor companies, manage required documents (tax clearance certificates, ASO occupational medical exams, Brazil's NR training, insurance policies), track expirations and grant site access only to those who are compliant. Connected to Health and Safety, PPE and Training, with no parallel spreadsheet.

Modular platform: start with this module alone or combine it with others.

Contractor risk shows up later, and it shows up in full

The hiring company is liable for a lot that happens to people it did not hire. If a contractor is injured at your plant without a valid ASO (occupational medical exam), or enters a hazardous area without the safety training required by Brazil's NR standards, the argument about whose obligation it was comes after the fact, and your company is part of it. Contractor management exists for exactly that moment, and that is when the spreadsheet tends to be out of date.

The practical difficulty is that contractor documents expire on their own dates and arrive through informal channels. Tax clearance certificates (CNDs), ASOs, NR training certificates and insurance policies arrive by email, by messaging app, sometimes printed at the front gate, and are kept by different people in different places. Answering today, without asking anyone, which contractors are noncompliant is a question most companies take days to close.

That is the question the platform starts answering on its own. Registration, documents and expiration dates live in one place, tracked by document type and by person, and the compliance status is ready before anyone needs to check it, not after the fact. It also records who was compliant on each date, which is what supports the company's position in a later dispute with a customer, a union or an inspector.

The module does not guard the gate or decide to block anyone, which remains the job of operations and workplace safety. What it delivers is the information while it is still worth something, with contractor data in the same database as Health, Safety & Compliance and Training, with no parallel registration and no one having to remember to check.

    Why choose Contractor Management

Built to solve the real problem, not just to "have the module".

    Active document compliance

Each contractor company and each contractor worker has its own checklist. An expired document automatically blocks clearance for the site.

Connected to Safety, PPE and Training

Contractors follow the same standard as your own employees: ASO, NR training, PPE handouts and workstation risks.

    Contractor portal

The contractor company itself submits documents, updates its workers and resolves pending items, with an audit of what each one did.

    No duplicate records

A contractor worker is registered once and reused in training, PPE, health and safety and internal channels with no rework.

    FAQ

    Questions about Contractor Management

Which contractor documents does the module track?

Documents of the contractor company (contract, tax clearance certificates, insurance policies, permits) and of each contractor worker (ASO occupational medical exam, NR safety training, PPE record, personal documents). Each document has its own expiration date and enters the expiration queue before it lapses.

Can we block access for noncompliant contractors?

Yes. The compliance status is calculated from the documents required for the role. A contractor worker with an expired or missing document shows as noncompliant, which gives the contract manager an objective criterion for not granting access to the site.

Do I need to register contractors again in Safety and Training?

No. The contractor worker is registered once and exists for the other modules: they receive NR training, enter the role-based matrix, have a PPE record and appear in the health and safety indicators alongside your own employees, separated by employment type when you need to tell them apart.
